Summary and Set Up Guide
The Whole Health Expo is a way for SSI to promote itself and its products to the general local community as well as people interest in holistic healing from all over New England. This will hopefully be happening twice a year, once in the Spring and once in the Fall. Below you will find a list of what needs to be done to get ready for the expo and various other useful information about being at the expo. All sheets, forms and digital information needed for WHE are located on the file server in a folder called Whole Health Expo.
Set Up
Tables: Whole Health Expo gives us two tables with the following dimensions
Approx: 30” high, 4’ long, 2.5’ wide
Usually the tables are covered on the sides but the top is just clear plastic and you can see through to the wood below it. It is best if we use a tablecloth of some kind. We have a red one that we have used in the past for this. It should be in with other WHE materials.
Banner: Maximum it can be is 12’ unless we hang it in the front of the table. We have decided that it is best to hang the banner behind the table to get maximum recognition. We have this printed at Paradise Copies in Northampton. Currently we have one that is laminated and should be in the backroom of SSI.
Guestbook: Basic guestbook should be available for people to record their information in. Use the book on the front desk in the office but fill it with new sheets. Make sure that all names are entered into civiCRM and Constant Contact after the Expo is finished.
Cashbox: Need to take cash box from SSI to handle cash purchases. There should be enough change in it to begin with. There should be a company computer there to take credit card orders through our website. Internet is not always guaranteed so we may have to take customer information and wait to enter it at SSI.
Marketing Materials: Very important to bring these and make sure we have enough of each. Materials will be separated into four different 3-tiered literature holders. There should be 50-100 of each printout. Here is the breakdown:

There should be 50 prospectus’ brought to the expo. This breakdown of four sections is also meant to help organize the table setup. Near the training information there should be textbooks and other retails items related to training. Next to specialty articles should be books about yoga and tai chi related Somatics. Next to client testimonials there should be the CD sets. Next to Articles for more detail there should be other retail items such as the Somatics books. It is a very tight squeeze with the two tables so the fewer things we bring the better. We shouldn't overwhelm the event goers with information. If the booth is too crowded people will not want to stop at it.
In front of these four sections there should be a little label in a plastic holder to describe each section. They have been made and are on the fileserver if they ever need to be printed off again. All four of the 3-tiered literature holders should also be labeled on the front with the kind of material is being held.
Also be sure to bring along copies of our "Health Forum" TV show on DVD. These should be given away at the practitioners discretion and not freely handed out as these do have a cost for us.
Computer/DVD: Not enough room to bring this and we would need to pay for electricity to run it but it is an idea we should hold onto in case it is plausible in the future. Need to bring one of our computers to set up and play our Health Forum TV show on loop. Make sure it has a working DVD player and bring one of the older computers so we don’t have to worry so much about losing one of our nicer computers.
Retail: Below is a list of all the retail materials we brought and the quantity. These can be adjusted based on what you have on hand or if more/less is determined to be a better amount to have on hand.

Need display stands for some of the materials. Put bigger books and maybe some CDs on stands or just stand them up like we do in our store. Make sure a list is printed off with what is brought and how many so that we can keep track of inventory. We should also have a price list so practitioners/workers can have quick reference guide for price without looking it up on the web. This can be done by going to view products in ubercart and just printing off all 4 pages of product information.
Business Cards: Need holder for everyone’s cards. Make sure there is enough to fill up plastic holder. Need at least Steve, Jon and general SSI card.
Brochures: Have one stand with brochures in it. Bring around 50 or however many can fit in the holder.
Supplies: Make sure there are plenty of supplies. The following is good to bring:
Pens, staplers, paper, rubber bands, 1 triple decker business card holder, 4 triple decker magazine holder, raffle box, 1 brochure holder, 2 big item displays, 8 small item displays, 1 calculator, 2 things of post it notes, 1 pair of scissors, tape, 1 cash box, 1 camera, 1 guest book, 2 extra batteries for camera, 3 clear blue clip boards w/ pads of paper, 1 box of tissues, 1 Somatics table, 1 light blue pillow, 1 dark blue pillow, 1 wrapped frelonic mat, 1 unwrapped frelonic mat.
