Training Classroom Logistics

These are help documents on managing the infrastructure, equipment, paperwork, and other on-site processes that occur when classes are in session. See elsewhere for management of logistics, planning, and support during the interim between and before class sessions.

Recording and Logging Audio and Video

Finder Pathway to the Class training folders, etc.:

  • In the Dropbox (Somatics) folder, within Training Program folder, c2009 through c2018 folders
  • c2016 Northampton labeling, “Training Module Daily Journals_c2016_s2_screen shots” (I’m gradually moving the screen shots into this folder)
    • In this folder, will find the journals with topic titles, file no’s, times, etc.
    • Will also (eventually) find all the screen shots that go with this part of the training.
  • c2018 Northampton labeling, “Training Module Daily Journals_c2018_s1_screen shots”

Audio

  • d1 and d2 – we are using Sony B – built in memory (not memory card)
  • d3 and after – plan to use Sony A with memory card (b/c a lot more space, and can put multiple days without downloading/deleting files
  • when the Sony recorders are using memory card, they start up slower apparently
  • Batteries used: AAA
  • Battery icon in lower R corner of recorder screen– shows battery strength – when low in battery power – becomes more and more empty
  • File numbers: can’t see them when in recording mode – but when not recording, can see the file number of the most recent file.
  • Buttons
    • Record Button –
      • press to start recording
      • Red light will go on
      • If press while recording, will pause the recorder
      • If press again, will start recording again, and you will still be in the same file.
    • Stop Button
      • Press Stop button to stop recording, and change files,
      • Red light will be off.
    • When a topic is done, make sure press Stop button, to change files and start a new file with the next topic
    • If possible, ask Steve to break up long sessions, so files are not longer than 1 hour.

 

  • Downloading Files
    • Connect through USB cord
    • Go to Finder
    • Click on IC Recorder – or if there’s a memory card, it will say memory card.
    • Click on List view icon
    • Click on Voice
    • Then “Command Forward” which will show the folders
    • Then “Command A” which will select all the folders
    • Then “Command Forward” which will open all the folders and show all the different files
    • This shows all the folders on the recorder with all the files – that way you can see everything that is on the recorder at once.
      • Here, we are only working in Folder 01, but if for some reason something got recorded in another Folder, it will show up.

 

  • Moving files into iTunes
    • Drag “Voice” folder into iTunes on Dock. SRA prefers this way of moving them into iTunes as opposed to the following way:
      • of selecting a group of files and dragging them into iTunes – b/c he feels you can lose files that way. When you drag the whole voice folder, you’re sure to have gotten everything.
  • Screen Shots (first part is the same as the instructions for downloading files)
    • Connect through USB cord
    • Go to Finder

      • Press the space bar
      • This will select the whole computer screen
      • You will see a camera icon somewhere in the middle of the screen
      • L click and that will take the screen shot
    • Drag or copy the screen shot into “Class 2018 folder”; “Training Module Daily Journals;_Screen shots_s1”; “Screen shots””
    • Labeling: example is from s1 d1: “2016-11-05 161105_001 to 161105_007 TimeStamp 1 hour earlier than actual time SonyA”
      • This one has the extra info re: time stamp – normally that wouldn’t need to be there, if time is correct.
    • Label should include:
      • Date of screen shot
      • 1st file no. to last file number
      • Sony A (or B)”
    • Another example from c2018, 11/13/16: “2016-11-13 161113_001 to 161113_008 SonyA”

iTunes Labeling (example for c2018 s1m1)

  • Song: History of Somatics
    • Or if had to break the recording into 2 sections b/c of length: History of Somatics t1/2 and then t2/2 followed by time in [] as usual.
  • Artist: person who taught the particular topic / class
  • Album name: c2018 s1m1 (2016 Nov 5-13)
  • Album Artist: Somatic Systems Professional Training
  • Group: s1
  • Genre: Somatics Professional Training Program [SRA Recordings]
  • Year: 2016
  • Track no.: 1 of 8 (for example)
  • Disc Number: Day is designated by “Disc 3 of 18” – etc.
  • Comments: Copy in original file number from “Song”

iTunes Labeling (example for c2018 s1m2)

  • Song: Somatic Exercise #9, Pelvic Compass (PMB)
    • Or if had to break the recording into 2 sections b/c of length: could be something like “History of Somatics t1/2 and then t2/2” followed by time in [] as usual.
  • Artist: person who taught the particular topic / class
  • Album name: c2018 s1m2 (2017 Jan 28-Feb 5)
  • Album Artist: Somatic Systems Professional Training
  • Group: s1
  • Genre: Somatics Professional Training Program [SRA Recordings]
  • Year: 2017
  • Track no.: 1 of 6 (for example)
  • Disc Number: Day is designated by “Disc 10 of 18” – etc.
  • Comments: Copy original file number from “Song” down to “Comments” section

 

Re: when OK to delete audio files from Sony recorder:

 

Once you know that all the audio files are downloaded onto the computer, and have been moved into iTunes and labeled (at least as far as being in the right Album + other things that identify it as being part of the that grouping – (you don’t have to have filled in all the details of “Song” labels yet – meaning all the class titles and times)

 

Then you can delete the files from the recorder.

 

Deleting audio files from Sony Recorder

  • Eject the Sony recorder
  • Click on Sony recorder Menu (3rd button on right just under the screen)
  • Using “up/down” arrows, scroll up one, and arrive at “Format”
  • Click enter (once on Format)
  • At the moment (1/28/17) it says “Built in Memory” and then below “Erase All Data?”
  • Then under that, there’s a box that gives a choice of “Execute” or “Cancel”
  • If want to clear Built in Memory of recorder, use “up” arrow to go up to “Execute”, and press the “Enter” button.
  • If there is a memory card”, I’m guessing you first choose “memory card”, and then in the box below, choose “execute”, if you want to clear the memory card.

 

 

iTunes labeling project for c2016 Northampton

  • Start with c2016 s2
  • Transfer times from the screen shots to the Journal Notes for each topic
    • In the journals – in s2 – for the most part, I don’t have the file no’s recorded for each topic (started that later)
  • Then do the labeling in iTunes
  • When do the labeling for video – just transfer the title from the journals – with the same info as for iTunes – including the time.

Recording Tips

How to Download and label

  • Put in card
  • Open Final Cut Pro (OK to do the other way around also – but this seems to work fine.)
  • What see first, is what’s on the computer – in the library
  • In upper left menu bar, should see “Canon” selected
    • Canon should show up under “Cameras” not under “Devices”. If it’s not – check with Steve.
    • If you see “Boot_SSD” or “Training Videos Library 4” selected, you’re not on the right thing. (These show up under “Devices”.) If Canon is not selected, don’t move on to “Import All”.
  • So, with “Canon” selected, look on screen and see what is being shown.
  • At top right of screen, you will see “Add to existing event” or “Create new event in”
  • If it’s a new day, then you will select “Create New Event”, and write in the day, using the existing event title as your guide.
  • Then go to lower right of screen and click on “Import All”
  • If it’s later in the same day, then just stay with “Add to existing event” which is already selected. And then click “Import All”.
  • If you want to see what’s on the card, then go up to top menu bar and click “File”; then “Import”; then “Media” – which will show the clips on the card
  • Usually we are importing all the clips, but if some have already been imported, you might then have to select only the ones you are choosing to import
  • Then once you have selected them, you would click on “Import Selected”

Video Labeling of each file

  • Easiest to get the info from “Training Module Daily Journals_Screen shots_s1”
  • What need is the title of the class (and possibly the start and stop time)

 

Once you are sure that video clips are downloaded on the computer and in Final Cut Pro, then you can clear the card.

  • It’s best to initialize (see below),
  • but if you can’t or shouldn’t delete all the clips, then you will have to do it in a different way. (Still have to write that down).

How to Initialize

  • Press “Home” button
  • “Other Settings”
  • Choose the “wrench” icon
  • Scroll down to “initialize”
  • Choose “memory card”
  • “initialize”
  • Under “yes” and “no”, choose box that says “Complete Initialization”
